    The regional co-chairs and regional coordinator are meeting ahead of our fall regional meetings to propose new ways of involvement throughout the organization (whether or not members are able to attend the annual conference).

    The meeting started at 10:05 AM on October 13, 2017.
    The committee Troy Cogburn, Craig Green, Caitlin, Jill, Darlene

    –Regional note taker-
    Ask for help for someone to take notes

    –Reshaping the Regional meeting- Fun event during the summer
    Eastern region has a meeting and then they do the track- not enough people for the November 1 meeting only 10 with 6 RSVP’d ,

    Central region meeting is on Friday which it will be better for staff who travel

    Downstate- people are not finding the regional meeting to be essential
    Troy- Doing more research during the meeting. Example from Troy Cogburn, who stated that when he work at Marymouth College he highlight the presentation also,
    NYU – art therapy focusing in an overall membership and maybe don’t need to have an hour for a guest speaker. It will be important that during the fall meeting 90 minutes to figure out what will be the topic for the next meeting and workshop ideas and actively work researching for each meeting , and as the Co-chair can follow up with different ideas.
    Downstate- state said it was a great idea for the workshop.
    Topics of interest : Transfer student success, how do they prepared students transfer to a 4 year College.
    Troy: invite staff from 2 year to the meeting and encourage new members and non-members. Include the workshop component
    Craig: Central host college , round table discussion, 2-3 topics and people were talking and engaged rather then listening to one person speak.
    Tracey: agreed with the round table discussion and people were interest
    Troy: What are counselors telling their Director and VP what was the best of the college they visit. During the summer conference, slow attendance and it was declining through the years
    Do we need to make the presentation a priority so everyone can see it, instead of only a handful to see this presentation
    Transfer fairs, there’s more conflicts and community college are sending their invite late and maybe changing their dates.
    Albany Colleges are better with their invite . It’s important for the Community College to realize the fairs and make a priority for their students to go to a 4 year College.
    Whats the best way to reach out the Admission rep. from the colleges.- Look through the College website

    My notetaker was no pro at this (I asked her last minute to take notes) so I am going to add some additional information regarding the meeting.

    *Having a notetaker with laptop during regional meetings to enter notes directly into Region Updates section of NYSTAA web will help with saving useful information for future membership ideas

    -All agreed, clear on process to start taking notes during fall meeting, exact minutes not required

    *Take ownership of NYSTAA Transfer Fair calendar at regions – get someone to volunteer to report regional TR fairs to NYSTAA website…create comprehensive list of all NY CC TR Fairs…this will help show the increase in conflicts at two year schools and hopefully will encourage TR consortium weeks……Do we have volunteers at each region to do this?

    -All are open to this

    *Utilizing regional meetings to thoroughly workshop ideas for conference presentation….90 minutes, select topics, begin research, actively work on this during meeting….true professional development that can be reported back to VPs, Directors…….hopefully helps with getting approved to attend conference.

    -Like for the idea….this is not mandatory, different regions may try it out.

    *Less “selling the host school” more creativity in showcasing instition

    -Issue in downstate, but not Central or Eastern

    **25th year**….must promote greater involvement and provide the opportunity to do so at the regions…..if you need help from our one of our 3 leaders, let them know and I am sure they are glad to help….we are in Cortland, Utica and Westchester this year….our strong leadership can help promote greater participation.
